Who we are
Tech On Wheels provides computer repairs and IT support for homes and businesses in Hamilton and nearby Waikato areas. This policy explains how we handle personal information when you contact us, use our website, or receive onsite, workshop or remote services, including laptop, desktop and MacBook repairs, data recovery, backups, networking, email and website support.

Information we collect and why
We collect information reasonably needed to respond to enquiries, arrange and carry out work, communicate with you, process payments, keep business records and resolve problems. Depending on your request, this can include:
Your name, phone number, email address, service address and business contact details.
Messages, appointment details, quotes, approvals, invoices, payment status and service history.
Device make, model, serial number, fault descriptions, diagnostic results, relevant settings and repair notes.
Files, emails, account details or other information that we need to access or copy for the work you authorise, such as a data transfer, recovery or email migration.
Website connection and technical information, including IP address, browser and device details, and cookie information needed to operate and protect the site.
Our contact form requests your first name, phone number and email address. You can also provide your last name and a message. Please do not include passwords, payment-card details or unrelated sensitive information in the form.
Providing information is generally voluntary. If you do not provide details or access needed for a particular job, we may be unable to respond, attend your premises or complete that work. We will explain what is needed and discuss practical alternatives where possible.


Where information comes from
We usually collect information directly from you, from your device during authorised work, or through your use of our website. We may also receive relevant details from someone arranging support for you, an authorised business contact, or a service provider helping with your job.
If we collect personal information about you from another source, we will take the notification steps required by the Privacy Act 2020, unless a lawful exception applies. Please only give us someone else's information when you have authority or another lawful basis to do so.

Your device, files and passwords

We treat information encountered during repairs as confidential. We limit access to what is reasonably necessary for the authorised work. We do not browse unrelated personal files, sell customer information, or use the contents of your device for advertising.

Some jobs require access to files or accounts, or temporary copies of data. We will explain this when agreeing the work. Where practicable, you should enter passwords and verification codes yourself, or provide a temporary account. If credentials must be shared, we will agree a suitable method and restrict their use to the job. We do not need your online banking password or PIN to repair your computer.

We seek specific approval before a factory reset, formatting, data erasure or another step expected to remove your data. Please tell us about sensitive material or access restrictions before work starts. These arrangements do not remove our obligations to protect your information.

Remote support

Our remote-support page provides a TeamViewer download. When you authorise a remote session, the technician may see your screen and access settings or files needed for the agreed work. Close unrelated documents and applications before connecting. You can ask us to stop or end the session yourself.

Permission for one session does not authorise ongoing unattended access. Any ongoing access, session recording or additional monitoring requires a separate explanation and agreement before it is enabled. Remote software providers also process information needed to operate their services.

Sharing information and overseas services

We share only information reasonably needed for an authorised purpose. Depending on the job, recipients may include technicians or contractors assisting us, a specialist repair or recovery provider, parts suppliers handling a warranty, or providers supporting our website, communications, invoicing or agreed cloud services. We will discuss specialist referrals and any additional data access or costs before proceeding.

Our website is hosted by Wix. Our website and support providers, including Wix and TeamViewer, may process information outside New Zealand. For a cloud backup, email or hosting service, we will identify the relevant provider when arranging that service.

We take reasonable steps to select and manage providers so that information is protected and used only for authorised purposes. Where an overseas provider acts solely on our behalf, we remain responsible for the information. Where an overseas disclosure is subject to information privacy principle 12, we will meet its requirements, such as ensuring comparable safeguards, or obtaining properly informed authorisation where the law allows it.

We may also disclose information with your permission, to professional advisers where necessary, or where required or permitted by law. We do not treat acceptance of this policy as unlimited permission to share information.

Keeping information secure and deciding when to delete it

We use safeguards appropriate to the information and the work, including restricting access to authorised people and protecting devices and records against loss, misuse and unauthorised access. No system is risk-free, but this does not reduce our responsibility to take reasonable care.

We keep personal information only for as long as it is needed for a lawful purpose. Invoices and tax records are generally retained for at least seven tax years, as required by tax law. Repair notes and correspondence are retained for relevant service, warranty, dispute or legal purposes, then securely deleted or de-identified when no longer needed.

Temporary repair copies and recovered files are not kept indefinitely. We agree the handover and any necessary temporary retention with you, then securely remove copies when the agreed purpose ends, unless a legal requirement requires retention. A repair does not include permanent backup storage. Any ongoing backup service needs a separate agreement about storage, retention and recovery.

If a privacy breach causes or is likely to cause serious harm, we will notify the Privacy Commissioner and affected people as soon as practicable, subject to any lawful exception, and take steps to contain and address the breach.

Website cookies and other websites

Wix uses cookies and related technologies for site security, core functions, stability and performance. Cookies are small files stored by your browser. You can manage or delete them through your browser settings, although blocking essential cookies may affect how the site works.

If optional analytics or advertising tools are enabled, we will explain their providers, purposes and available choices in our cookie information before using them. Links to other websites, including software downloads, lead to services with their own privacy policies. Please review those policies before providing information to them.

Service messages and marketing

We use your contact details to discuss your enquiry or job, send invoices and provide relevant service updates. We will send promotional emails or texts only with the consent required by law, identify ourselves and provide a way to unsubscribe. Choosing not to receive marketing does not prevent you from receiving repair services or necessary job messages.

Access, correction and privacy concerns

You can ask whether we hold personal information about you, request access, or ask us to correct it. Contact our Privacy Officer using the details above. We may need to verify your identity or your authority to act for someone else. We will respond within the time required by the Privacy Act and explain any lawful reason for withholding information or extending the response time.

If we do not make a correction you request, you can ask us to attach a statement of the correction sought. You can also ask us to delete information; we will consider whether there is still a lawful reason to retain it. If you are unhappy with our response, you may contact the Office of the Privacy Commissioner.

Changes to this policy

We may update this policy when our services or information practices change. The latest version will be published on our website with its update date. We will give any further notice or obtain any consent required by law for a new use of information.
